This Privacy Policy explains how we collect, use, and protect your personal information when you interact with our website. We are committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

1. Information We Collect

We collect only the information we need to provide our services and enhance your experience with the Museum. This may include:

  • Contact details: name, email address, phone number, and mailing/billing address
  • Payment information: credit card details (processed securely through Moneris)
  • Account information: username, password, and preferences when you register for an account
  • Transaction information: records of donations, memberships, and event registrations
  • Automatically collected information: IP address, browser type, and pages visited, collected through cookies and analytics tools (e.g., Google Analytics)

All personal information is collected on a voluntary basis—for example, when you create an account, make a donation, fill out a form, register for a membership, or participate in our programs, events, and workshops.

2. How We Use Your Information

We use the information we collect to:

  • Process memberships, donations, and registrations for programs, events, and workshops
  • Respond to form inquiries
  • Manage and improve our website and services
  • Send newsletters or promotional materials (with your consent)
  • Maintain accurate records for accounting and administrative purposes

3. Consent to Communications

Each form on our website includes a consent checkbox that allows you to choose whether you wish to receive emails or other digital communications from the Museum. You may withdraw your consent at any time by:

  • Adjusting your communication preferences in your account settings, or
  • Contacting us at info@umcnational.ca

We’ll respect your choice and make sure your preferences are updated promptly.

4. Third-Party Service Providers

We use the following third-party tools to operate our website and provide services:

  • Zoho CRM – contact management; email communications
  • Moneris – secure payment processing
  • Google Analytics – website usage analytics
  • WooCommerce suite – memberships, donations, event registrations, and other orders

These providers may process your information on our behalf but are not permitted to use it for their own purposes.

5. Cookies and Analytics

Our website uses cookies and similar technologies to help us understand how visitors use our site and to improve user experience. You can control or disable cookies in your browser settings. Please note that disabling cookies may affect how some parts of the website function.

6. Data Retention

We keep your personal information for as long as you maintain an active account or until you withdraw your consent.

If you close your account or request that your information be deleted, we will remove your personal data from our systems, except where retention is required by law (for example, for financial record-keeping).

7. Data Security

We take reasonable measures to protect your information from loss, misuse, and unauthorized access. These safeguards include:

  • HTTPS encryption to secure data transmitted through our website
  • Restricted access: only senior Museum staff have access to users’ personal information stored on our website
  • Secure servers and password protection for all user accounts

Our website is built on WordPress and our products and services are offered through WooCommerce. Both platforms include privacy and security features such as password hashing, role-based access control, HTTPS integration, and administrative tools for exporting or erasing user data upon verified request.

While we do our best to protect your personal information, no method of data transmission or storage is completely secure. By using our website, you acknowledge and accept these inherent risks.

8. Access and Control of Your Information

You have the right to:

  • Access and review the personal information we hold about you
  • Request corrections to inaccurate information
  • Withdraw your consent to certain uses of your data
  • Request deletion of your account and associated information

In addition, our website platform includes built-in privacy tools that allow users to request a copy of their personal data. Upon request, we can securely export a record of all personal information associated with your account in a downloadable .zip file.

You may also request that your account and personal data be erased from our website’s system using these tools, subject to any legal or record-keeping requirements that prevent immediate deletion.

To make any of these requests, please contact us at info@umcnational.ca or 306-244-3800.

9. International Data Transfers

Some of our service providers (such as Google, Zoho, and Mailchimp) may store or process information outside of Canada. These organizations are bound by strict privacy and security standards, and we take reasonable steps to ensure your data remains protected wherever it is processed.

10. Links to Other Websites

Our website may contain links to external websites that are not operated by the Museum. Please note that we are not responsible for the content, security, or privacy practices of these other sites.

We encourage visitors to review the privacy policies of any linked websites that collect or handle personal information. Your interactions with those websites are governed by their own privacy statements.

11. Updates to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our data collection practices.
